Update Cloned or Custom EEO Forms with Latest Department Of Labor Changes

Faculty Search provides Institutional Administrators with a standard, VEVRAA/503-compliant EEO form available from the Administration page. The U.S. Department of Labor has recently updated the question text and answer options related to disability in the standard VEVRAA/503-compliant form.

On July 14th of 2020 the default EEO form in Faculty Search was updated to reflect these changes.

  • Clients using the standard EEO form provided by Interfolio will not have to take any action. The standard form we provide is automatically updated and compliant.
  • Clients using EEO forms created by cloning and editing the standard EEO form will need to edit their existing EEO form to add the new "employee ID" field and update question text, descriptions, and headings  as shown below.
  • Clients using a custom form will need to add their updates to the form to remain compliant, or use the standard or cloned option.

This article walks through changes made to the form, and the video explains the process of updating cloned or custom forms to remain VEVRAA/503-compliant.

Changes made from the old form:

The following changes have been made to the form. Clients will need to make sure their cloned or custom forms reflect these updates in order to remain compliant.

New optional Employee ID field:

Added a new optional field to the form, Employee ID (if applicable)

Updated text description of the question "Why are you being asked to complete this form?":

We are a federal contractor or subcontractor required by law to provide equal employment opportunity to qualified people with disabilities. We are also required to measure our progress toward having at least 7% of our workforce be individuals with disabilities. To do this, we must ask applicants and employees if they have a disability or have ever had a disability. Because a person may become disabled at any time, we ask all of our employees to update their information at least every five years.

Identifying yourself as an individual with a disability is voluntary, and we hope that you will choose to do so. Your answer will be maintained confidentially and not be seen by selecting officials or anyone else involved in making personnel decisions. Completing the form will not negatively impact you in any way, regardless of whether you have self-identified in the past. For more information about this form or the equal employment obligations of federal contractors under Section 503 of the Rehabilitation Act, visit the U.S. Department of Labor’s Office of Federal Contract Compliance Programs (OFCCP) website at www.dol.gov/ofccp.

Updated the question "How do I know if I have a disability?"

Old question text: "How do I know if I have a disability?" '

New question text:  "How do you know if you have a disability?" 

Updated the list Disabilities include, but are not limited to:

  • Autism
  • Autoimmune disorder, for example, lupus, fibromyalgia, rheumatoid arthritis, or HIV/AIDS
  • Blind or low vision
  • Cancer
  • Cardiovascular or heart disease
  • Celiac disease
  • Cerebral palsy
  • Deaf or hard of hearing
  • Depression or anxiety
  • Diabetes
  • Epilepsy
  • Gastrointestinal disorders, for example, Crohn's Disease, or irritable bowel syndrome
  • Intellectual disability
  • Missing limbs or partially missing limbs
  • Nervous system condition for example, migraine headaches, Parkinsons disease, or Multiple sclerosis (MS)
  • Psychiatric condition, for example, bipolar disorder, schizophrenia, PTSD, or major depression

Clients using cloned EEO forms:

Clients using cloned EEO forms will need to edit their cloned EEO form to reflect the most recent changes to the form from the D.O.L.

1. From the Administration page, open the EEO Information tab

From the Administration page, open the EEO Information tabur Faculty Search dashboard, and select "Administration" from the dropdown menu

2. Scroll down to the EEO form section and click to edit the form

Make sure you are editing settings for the correct administrative unit or position

3. Edit the form to add your changes

Edit the form to add your questions and changesegin creating a new form, or "Edit" to edit an existing one

Clients using a custom form:  

Will need to add a new EEO form or add the above questions and language updates to their custom form, or use the standard or cloned option with updated language to remain compliant.

On the EEO Information tab of Administration, click the edit pencil to update your existing EEO form and add the changes described above
