Manage Scholarly Contributions Activity

Faculty members can add Scholarly Contributions & Creative Productions to Faculty Activity Reporting (FAR, Faculty180) by manual entry or by import. This article covers creating a new activity input entry and managing co-authored work.

If your institution uses Interfolio Data Service (IDS), check out this article on how to Use Interfolio Data Service for instructions on how to check activities in IDS before adding activities manually.

Add Scholarly Contributions Activity

  1. Click Activities on the navigation menu.
Faculty Activity Reporting section with Activities selected
  2. Click the Scholarly Contributions & Create Productions section to expand it.
  3. Click Add at the bottom of this section.

You can also navigate to this page by selecting Scholarly Contributions & Creative Productions from the dropdown under the Add Activity section from the homepage

  4. When adding a new activity, the option of entering data manually or importing citations from other publications is available.

Manual input to add activity

  1. Click the dropdown menu under Manual Input and select from the list of available scholarly activity types.
    Manual Input with dropdown open
  2. Click Continue when finished.
  3. Complete the Activity Input form. Note the required fields.
  4. Important: Click Save when finished. There is no autosave functionality, so sessions that are timed out will result in lost data.

The required information and available options will vary depending on the type of activity being added (book, journal article, presentation, and more.) and the institution.

Import citations

To import a citation from an external source compliance with usage restrictions is required. Be sure to review any terms of use and/or license agreement from the external source. The safest method for importing citations is to obtain written permission from the external source. If it is not possible to obtain permission, importing citations should be avoided.

  1. Select an option from the Import menu.
    Import section
  2. Click Continue when finished.
  3. Fill out the information. The options available will change based on the import source.
    • If uploading a Generic (RIS / BibTeX) citation, upload the citation and then click Save.
    • If importing from another source, check the boxes for any applicable citations in the Select column. Then click Import Selected at the bottom of the screen.

Add Co-Authors

  1. Click Add in the CoAuthor box of Section A
  2. Select to add a coauthor from the list of users at your institution or type in the name of the coauthor. If you add a coauthor from your institution, they will be invited to add this scholarly contribution to their activities as well.
  3. When using the faculty selector tool to select an author at your institution, search for the name of the author and then either double-click their name from the list or highlight their name and select the right-facing arrow to move their name to the selected list.
  4. Click Select Faculty when you are done adding coauthors.

If you added a coauthor from your institution, you can edit their name in the fields shown. This will only change the alias of the author's name. If your intention is to replace that author with someone else, you must delete that entry and add a new one.

Respond to a Coauthored Work Addition

As part of the Scholarly Contributions & Creative Productions functionality, FAR users can include coauthors when adding a new activity. If a FAR user wants to add a specific individual as a coauthor to an activity, a notification message with the Coauthor Verification Type is displayed in the To Do section on the requested individual's Dashboard. The option of accepting or rejecting the coauthor verification is provided. If accepting the coauthor verification, the option to edit your copy of the activity is available (only your copy of the activity will be changed - the changes will not be made to the other coauthor's copy of the activity). If rejecting the activity, the coauthor who requested to add the activity will not be notified of the rejection.

  1. Click the Coauthor Verification task on the homepage.
  2. Click Accept or Reject on the Coauthor Verification page.
    • If Accept is chosen, a pop-up notification will be displayed giving the user the option to edit the activity if necessary.
    • If Reject is chosen, a pop-up notification will be displayed for the user to confirm the rejection.

Once a disposition has been confirmed, the task will disappear and there will not be an opportunity to change the response.
