Faculty Search Release Notes: 2019.07.25

Prevent undesired application completeness updates when a form is updated:

With this release we corrected an issue involving certain changes to custom application forms (standard and EEO) created in Faculty Search. Updates to the forms were triggering application completeness updates for submitted applications. This had the potential to cause some significant reporting problems for our Faculty Search clients.

Questions/responses can now be updated/deleted/added without affecting the completion status of submitted applications.

New applicants, or applicants updating an existing application, will be required to fill out any new questions, but we maintain the "Complete" status for any existing applications.

The logic for how this feature works is explained below:

Scenario 1 - Adding a new required question to an existing form:

  • When editing an existing Form in Faculty Search(standard or EEO), when a new required question is added/saved:
    • The updated requirements are used to calculate application completeness for all unsubmitted applications
    • The updated requirements will NOT trigger a recalculation of application completeness for all submitted applications
  • For an applicant who has previously submitted an application to a Faculty Search position, if the form requirements have changed since the last time they edited their application, when they are editing the application they will need to enter responses for any new, required question

Scenario 2 - Adding a new required form (or, more accurately, a form with required questions) to an existing position:

  • Faculty Search CM/Administrator adding a new/existing form with required questions to an existing position:
    • The updated requirements are used to calculate application completeness for all unsubmitted applications
    • The updated requirements will NOT trigger a recalculation of application completeness for all submitted applications
  • For an applicant who has previously submitted an application to a Faculty Search position, if a new form has been added to the position since the last time they edited their application, when they are editing their application they will need to enter responses for any new, required forms/questions
