Starting with this release, when requesting external evaluations through Interfolio Review, Promotion & Tenure, the person requesting the evaluation can allow the external evaluator to attach additional files along with their uploaded evaluation of the candidate.
As part of this release, we’ve introduced features for managing external evaluations, and added the option for an Administrator with appropriate privileges to add, remove, and replace external evaluations (and additional files) on behalf of a candidate.
We've also improved the external evaluator experience with a new landing page and the ability to download materials shared with then by the requestor without logging in.
When requesting an evaluation, users can now decide whether or not the evaluator(s) can submit additional files in addition to the requested evaluation letter.
Please note that these files are not required for the evaluator to submit their letter, and additional files are not tied to a requirement.
This new feature is found in the Response Settings section of the evaluation request form as shown below.
If the box labeled Can the evaluator submit additional files? is checked, then when the evaluator goes to submit their evaluation, they will see this new option, allowing them to add up to 10 additional files underneath the evaluation requirement as shown below.
On the case page, all additional files to each external evaluation appear together listed as attachments to the submitted evaluation.

Individual additional files that are attached in this way cannot be moved, rearranged, or shared, apart from the evaluation and the rest of the attachments. However, individual additional files can be downloaded.
A new Manage External Evaluations page displays information including Evaluation Settings, Request Details, Evaluation files and Additional Files.
From this page Administrative users with the appropriate privileges can:
- Manage access settings for an evaluation
- Add evaluation letter on behalf of the evaluator
- Add additional files on behalf of the evaluator
- Edit the title of an additional file
- Remove/replace evaluation letters and additional files
Manage access settings for all materials in an evaluation
While administrative users can currently manage access settings including the section and visibility of evaluations, these settings now include all materials in the evaluation.

In addition to the existing functionality of adding external evaluation letters, Administrators can now remove and replace a letter on behalf of an evaluator.
Add, remove, retitle additional files on behalf of the evaluator
Administrative users can also add additional files to an evaluation that will appear as attachments on the packet, and can also remove and edit (retitle) additional files.
If a user deletes an evaluation, the additional files are also removed. Deleting an evaluation is an action that cannot be undone and the file cannot be recovered.
External evaluators will now see a new landing page where they will be able accept or decline the evaluation request ('Accept' and 'Decline' links have been removed from the email).
Once an evaluation request has been accepted, evaluators are now able to download shared materials without logging in.
If enabled in the program by the person requesting the evaluation, evaluators can now add up to 10 additional files to support the evaluation.
Once an evaluation and/or additional files have been added, the evaluator can download the evaluation and additional files.
