Release Notes: October 21, 2026
This week’s release includes enhancements and fixes across Faculty Search (FS), Lifecycle Management (LM), Review, Promotion & Tenure (RPT), and Faculty Activity Reporting (FAR). In FS, we launched a refreshed Position Show experience with bulk applicant actions across multiple pages, improved search and filtering, and flexible sorting, alongside fixes to applicant validation, saved views, disposition codes, API documentation, and application-material downloads. In LM, we improved Message Logs date validation and resolved an issue that could leave unit-selection dropdowns empty. In RPT, we introduced more flexible committee-form requirements, allowing institutions to set minimum response thresholds, assign forms by committee role, and omit requirements in bulk at the case level. We also fixed issues with candidate selections carrying over when creating new cases, external evaluation reminders continuing after cases closed, and cases advancing two workflow steps from a single forward action. In FAR, we enhanced Medline/PubMed imports with AND/OR search, select-all functionality, citation-type visibility, and clearer page context, and fixed an issue that could prevent vitas from being sent to RPT when attachment names contained unsupported special characters.

Rate Limiting: As part of our ongoing commitment to improving performance, we added alerts that proactively notify us of anything that could negatively affect our users' experience. Through this work, we identified certain public endpoints that would benefit from rate limiting because third-party agents call them at high volumes and, in some cases, university integrations do as well.
On Wednesday, October 28, we will introduce the first rate limit allowing up to 100 requests per minute. Once you reach the limit, additional requests will receive an HTTP 429 (Too Many Requests) response until the minute ends, at which point the limit resets. If your institution integrates with this endpoint, we recommend pacing requests and retrying after a pause. As we continue this work, we will keep auditing where else rate limiting would be beneficial.

Enhancement - Refreshed Position Show Experience: We have modernized the applicant review experience in FS with a redesigned Position Show page that delivers new capabilities and faster performance:
- Select applicants across multiple pages and take bulk actions, including status changes, archiving, tagging, and emailing, on your full selection at once.
- Search and filter applicants using a redesigned filter panel with responsive, searchable controls.
- Sort by any column in the applicant table to quickly find and prioritize candidates.
- This work also resolved several open bugs:
- Fixed: We resolved an issue in FS where the Email field in the "Add New Applicant" pop-up was not highlighted in red and showed no error message when left blank. First Name and Last Name already displayed this validation feedback, and an applicant could not be added without an email, but the Email field gave no indication of why. The Email field now shows a red highlight and an error message when it is left empty, matching the First Name and Last Name fields. Users adding applicants to a position can now see which required fields still need to be completed.
- Fixed: We resolved an issue in FS where switching between saved views on the Applicant Overview page could display columns that did not match those saved in the view. The Columns menu could also show a different selection from the columns actually shown on the page. Saved views now load consistently, and the columns shown match the view you select. Administrators who use saved views to filter applicants can move between views with confidence that the correct columns appear.
- Fixed: We resolved an issue in FS where the Disposition Codes column appeared on the applicant list by default but showed no data until you manually selected it in the Columns menu. Disposition Codes is no longer a default column in the updated applicant list. You can add it from the Columns menu, and it displays the assigned codes once selected. The columns shown on the list now match the selections in the Columns menu.
- Fixed: We resolved issues with the FS API documentation. The "Try it out" feature in the interactive docs generated URLs that could not work, and the API reference page listed no endpoints. The documentation now produces usable request URLs, and the reference page lists the available endpoints.
- Fixed: We resolved an issue in FS where some custom application zip downloads were delayed by about five minutes before they became available. The download request could be processed before the system had finished saving it, so the first attempt failed and was automatically retried a few minutes later. Zip downloads are now processed only after the request has been fully saved, so they are prepared on the first attempt. Users who download applicant materials as a zip no longer face an occasional wait.
Lifecycle Management
- Fixed: We resolved an issue in LM where entering a date in an incorrect format in the Message Logs date filter cleared the field without any explanation. The field now keeps what you typed and shows the message "Enter a date in the format mm/dd/yyyy." as soon as you leave the field. Previously, the message appeared only if you entered the same date a second time. Users who mistype a date can now see right away that they need to correct the format.
- Fixed: We resolved an issue in LM where the unit selection dropdown could appear empty on the Add User, Add Appointment, and Edit Role screens. This happened intermittently, mainly when users opened a page directly from a link or bookmark, and the dropdown stayed empty until they reloaded the page. The unit list now fills in as soon as the unit data finishes loading. Users who add users or appointments, or edit roles, can now reliably choose a unit.

Enhancement - Enhanced Manage Required Committee Form Respondents: Institutions can now better manage committee form requirements with more flexible assignment and completion controls such as the ability to:
- Set a minimum number of required responses from Committee Managers or Committee Members, allowing workflows to progress once the threshold is met.
- Choose respondent type more precisely by assigning forms to either Committee Managers or Committee Members.
- Bulk omit requirements at the case level, reducing manual effort when managing respondents.
- These updates reduce delays caused by rigid completion rules and minimize the need for manual intervention, helping cases move through review workflows more efficiently while supporting more flexible participation models (e.g., optional respondents).
- Fixed: We resolved an issue in RPT where candidates selected when creating cases for multiple candidates remained selected the next time a user clicked Create Case, until the page was refreshed. Candidate selections are now cleared once cases are created, so administrators start each new case with a clean selection.
- Fixed: We resolved an issue in RPT where external evaluators with an accepted but unsubmitted evaluation continued to receive reminder emails after the case had been closed. Reminder emails now stop when a case is closed, in addition to when the deadline passes, the request is declined, or the evaluation is submitted.
- Fixed: We resolved an issue in RPT where, in a very limited set of circumstances, a single action to forward a case could advance it by two workflow steps, causing cases to skip steps. A single forward action now advances a case by exactly one step, and the activity log reflects the true order of actions.

Enhancement - Easier PubMed imports: We’ve made it easier to find and import publications from Medline/PubMed in FAR:
- Choose how search criteria are combined. A new option lets you match all search fields (AND) or any search field (OR). AND remains the default, so searches work as before unless you choose OR. Empty search rows are still ignored.
- Select or unselect all results at once. A new checkbox in the results table selects every eligible citation. Citations that were already imported stay disabled and are not selected.
- See the citation type before importing. The results table now includes a Type column, matching the RIS/BibTeX import.
- Clearer page context. The page now shows Activity Input as the main heading, with Import from Medline/PubMed as the subheading.
- Individual selection, duplicate hiding, maximum record count, and Import Selected work as before.
- Fixed: We resolved an issue where sending a vita from FAR to RPT could fail and leave the vita stuck if an attachment name contained an emoji or similar special character. We now remove these unsupported characters from attachment names when the vita is sent, so it is received without error. Attachment names stored in Faculty Activity Reporting are not changed.

- Citation improvements: We’re improving citation quality in Vita Builder to make citations more accurate and consistent across styles. This work includes aligning citation styles with Citation Style Language standards, improving the display of bibliographic details such as author, publisher and outlet (journal title), and adding stronger regression coverage for commonly used citation styles and record types.

- New Navigation Link - Activities Pending Review: We’re adding a new "Activities Pending Review" link to the FAR left-hand navigation, giving users a persistent, one-click path to their IDS Matching queue from any page with FAR and the FIS.
