Email a Candidate
Administrative users can email candidates directly from within RPT to communicate important information related to a case. Emailing a candidate is commonly used to clarify expectations, request additional materials, share reminders, or provide time‑sensitive updates during the review process.
Privacy and Confidentiality
- The candidate will be able to download any files shared with them.
- As with all activity in the system, the case Activity Log will record and document when files are shared.
If you need to share case documents with a candidate, it is recommended to use the Share Case Materials option, rather than attaching files directly to an email. Shared materials are managed through role‑based access and ensure that confidentiality rules are enforced.
Email Candidate
- Navigate to the Cases page and open the desired case.
- From the case's overview page, select Email Candidate from the ‘Case Options’ dropdown menu.
- This opens a message window where you can compose and send an email without leaving the case.
- When composing the message, enter a subject and message body, and attach any desired files. You can view the ‘reply-to’ email on the right-hand side. Replies are handled through email, and candidates do not need to be logged into RPT to read or respond to the message.
Emails sent to candidates are automatically recorded in the case activity log. This provides a documented history of communication associated with the case and supports transparency and auditing throughout the review process.
