Approve or Send Back a Position or Selection (New Hire)
The approval templates workflow feature is used to establish workflows for approving a new position or the selected applicant for the position. Administrators can set up templates that establish a series of approval steps that will take place after a position has been created (position approval) or after a search committee has selected one or more applicants to fill a position (selection approval). At each step of the workflow, the proposed position or hire is approved and sent forward, or sent back by the approver at that step in the workflow. This feature provides users with new insight into academic recruitment activities over time and empowers organizations to enforce their own data recording policies. This article explains how to set up position and selection approval workflows to approve positions or new hires.
Institutional Adminnistrators can approve any position.
Selection Approval Workflow
- Click Review Position in the sent email as seen below.
- The position or selection approval page with the current step, who the step is assigned to, and instructions for the approval will display.
About Approval Page

Approve Position
- Click Approve to approve the position.
- If the position is at the final step in the approval process, click Close to approve and close the position.
- Select the checkbox adjacent to Include a personal message to the members receiving access to personalize the email sent to alert the approver(s) at the next step in the workflow.
Send Back Position
- Click Send Back to send the position back to an earlier step if the selection is not approved.
- Indicate the step the position is being sent back to.
- Select the checkbox adjacent to Include a personal message to the members receiving access to personalize the email sent to alert the approver(s) at the next step in the workflow.
- For Position approval, the position can be sent back to a previous step in the workflow and when it is resolved, it will return to the step that sent it back.
- For Selection approval, the position can be sent back to a previous step in the workflow and when it is resolved it will need to go through all the steps in the built-out workflow. For example, if the selection was sent from step 3 of the process to step 1, the selection will have to go back through steps 1, 2, and 3.
