View the Activity Log of a Case

Interfolio Review, Promotion, & Tenure keeps a record of all actions taken on a case including when a case is moved to a different review step, when documents are shared, when messages are sent, changes in the status of the case, when the membership of the committee is changed, when external evaluations are requested, and more.

Administrators can view this information in the chronological Activity Log of all activity on a Promotion & Tenure case.

The Activity Log is accessed from the Case page. The article below explains how to access the log and provides a complete list of the types of activities and events that will appear in the Activity Log of a Review, Promotion & Tenure case.

Accessing the Activity Log

Select "Cases" from the left hand navigation menu to open the case list

Select 'View Activity Log" from the "Case Options" menu at the top right of the page

What activities/events are recorded in the RPT Activity Log?

The log records all activity including when a case is moved to a different review step, when documents are shared, messages are sent, changes in the status of the case, when the membership of the committee is changed, when external evaluations are requested and more.

Committee Recusal

Records date/time when committee member is recused from a committee. Includes name and email of recuser, name and email of recused, and name of committee the user is recused from.  

Committee (Un-)Recusal
Records date/time when committee member is un-recused from a committee. Includes name and email of un-recuser, name and email of un-recused, and name of committee user is no longer recused from.  

Applicant Initial Submission
Records date/time, when applicant makes initial submission of packet. View Content displays email sent to committee members notifying them of case submission.
Administrator Recusal
Records date/time when administrator is recused from a workflow step. Includes name and email of recuser, name and email of recused admin, and name of workflow step administrator is recused from.  

Administrator (Un-)Recusal
Records date/time when administrator is un-recused from a workflow step. Includes name and email of un-recuser, name and email of un-recused, and name of workflow step admin is no longer recused from.  

Committee Form Response Submission
Records date/time when committee member submits response to a committee form. Includes name and email of committee member and name of submitted form.

Comment Creation
Records date/time of comment, name and email of commenter, case step of comment. Text of comment is included in event entry.
External Evaluation Request
Records date/time of request, name of and email of requester, and name of external evaluator who gets the request.  View Content displays email sent to evaluator.
External Evaluation Submission
Records date/time when  confidential evaluation is uploaded, name and email of evaluator, and the title of the evaluation uploaded.

Vita Generated
Records date/time when vita is generated for a case. Notice includes name and email of user who generated the vita and the title of the generated vita.
View Details opens the document viewer and displays the vita in the candidate packet.
Vita Changed
Records date/time when vita is changed for a case. Notice includes name and email of user who changed  the vita and the title of the previous vita dn the vita it was changed to.
View Details opens the document viewer and displays the vita in the candidate packet.
Vita Removed
Records date/time when Records date/time when vita is removed from a case. Notice includes name and email of user who removed the vita and the title of the removed vita.

Vita Replaced
Records date/time when vita is replaced for a case. Notice includes name and email of user who replaced the vita and the title of the replaced vita.

Vita Regenerated
Records date/time when vita is regenerated. Notification displays name and email of user who regenerated vita and title of vita regenerated.  
View Detail opens vita in candidate packet.
Confidential Evaluation Uploaded
Records date/time evaluation was uploaded, and the title of the uploaded document.
Committee Form Submission Level Changed
Records date/time when user types who can submit a form is changed. This notification displays the name and email of the person who changed the setting, the name of the form, and indicates what the setting was before the change, and who can submit the form after the change. For example, from Only Committee Manager(s) to All Committee Members.

Committee Form Visibility Changed
Records date/time when visibility of committee form is changed. Includes name of form, name  and email of user changing visibility and indicates visibility permission the form was changed from and to  (for example: Administrators & Committee Managers to Administrators Only).

Committee Form Requirement Added
Records date/time when committee form requirement is added. Includes name and email of user who added form, name of form added, and user group for whom form is required (Committee Managers/Members for example),  FSSU Support (fssu_support@interfolio.com) added the form 'Annual Review Evaluation' as a requirement for the Committee Managers in committee FSSU P&T Committee at Step 3 of 4: FSSU P&T.

Committee Form Requirement Moved
Records date/time when form requirement is moved from one internal section to another. Event description indicates form title, section the form was moved from, and the section the form was moved to. For example, from the section 'Packet Attachments' to 'External Evaluations'.

Committee Form Requirement Changed (omitted/enforced)
Records date/time when committee form requirement is omitted or enforced for a respondent. Notification includes name and email of the user who changed the form, name of respondent for whom the form was changed, and how the requirement was changed for the respondent, either to omitted or enforced. 
Status Change
Records date/time when status of case is changed. Includes name and email of user who changed status and indicates former status (changed from...) and new status (changed to...).

Share Response, Committee
Records date/time when committee member responds to shared case attachment. Includes name and email of responding member, and the title of the file the user uploaded as a response.  

Share Response, Candidate
Records date/time when candidate responds to shared case attachment. Includes name and email of candidate, and the title of the file uploaded as a response.  

Share Response, Other User
Records date/time when user responds to shared case attachment. Includes name of responding user and the title of the file uploaded as a response.

Temporary Committee Member, Added
Records date/time and when temporary committee member is added, name of committee, and name and email of temporary  committee member added.

Temporary Committee Member, Removed
Records date/time and when temporary committee member is removed, name of committee, and name and email of temporary committee member removed.

Committee Assignment to Step
Records date/time when committee is added to a workflow step. Includes name of committee and the name of the step where committee was added.

Committee Removed from Step
Records date/time when committee is removed from a workflow step. Includes name of committee and the name of the step committee was removed from.

Workflow Step Movement (forward or backward)
Records date/time when case is moved back or forward in workflow. Notice indicates name and email of person moving the step, and the name of the step the case was moved from, and the name of the step the case was moved to. If Interfolio automatically moved the case, this is noted in the event description.  

Message to Candidate
Records date/time when message was sent. Notification includes name and email of user sending message, list of attachments, and name of candidate.
View Content displays email message sent to candidate.
Candidate Notification
Records date/time when candidate is notified of case. Includes name and email of user who notified candidate of their review.
View Content displays email message sent to candidate inviting them to view the case. 
Message to Committee
Records date/time when message was sent. Notification includes name and email of user sending message, list of attachments, and number of people emailed.
View Content displays email message sent to committee members.
Candidate Material Submission
Records date/time when candidate submits materials for review.

Share, Created
Records date/time when case files were shared,  name and email of person who shared the files, and name of the user who received the share.
View Content displays email notifying user of shared files.
Candidate Responds to Email Records date/time and name of candidate when candidate responds to an email concerning their case.
