Release Notes: May 6, 2026

This week’s release includes updates across Platform, Faculty Search (FS), Review, Promotion & Tenure (RPT), and Faculty Activity Reporting (FAR), along with a preview of upcoming RPT improvements. On Platform, we provided advance notice of adding Reed Elsevier Philippines as a sub‑processor to support Interfolio services and Customer Support operations. In FS, we enhanced the position activity log to include committee membership changes for evaluators and managers, fixed an issue where inherited approvers were missing from approval workflows on newly created positions, and resolved a problem that prevented some published positions from being accessible via their Apply links. In RPT, we introduced a redesigned Templates List with bulk archiving to improve administrative usability and enhanced the vita regeneration experience to ensure vitas can only be regenerated once all attachments are received. In FAR, we updated the Legacy Vita bulk export to align with Vita Builder export and resolved multiple issues affecting vita display and access, including incorrect numbering in listing‑style citations, inconsistent display of Ongoing activities, and an access error when viewing faculty vitas from the Scholarly Activity report.

 

Platform

  • Enhancement: As advance notice, we will be adding Reed Elsevier Philippines to the list of sub-processors that support Elsevier in delivering Interfolio services. This addition is intended to support our Customer Support team and related services. You can find an updated list of sub-processors here.

Faculty Search

  • Enhancement: We updated the position activity log to capture changes when evaluators or managers are added to or removed from a position’s committee. These committee membership changes now appear alongside other position-related activity and include the action taken, the affected user, and the timestamp. This update provides a more complete audit trail and helps users track committee changes more clearly.
  • Fixed: We resolved an issue where inherited approvers were not added to the appropriate approval steps for newly created positions. In some cases, users with the correct approver role were missing from the approval workflow and could not approve positions as expected. Inherited approvers are now added to the proper approval steps, and we added a safeguard to help prevent this issue from happening again. This update helps institutions maintain accurate approval workflows and route position approvals to the correct users.
  • Fixed: We resolved an issue in which some published Faculty Search positions were not immediately accessible via their Apply links. In these cases, applicants encountered an "unavailable page” message even though the position was published and open for applications. Apply links now load as expected after a position is published, without requiring users to re-save deadline settings. This fix was deployed on April 23, 2026, and helps applicants access open positions more reliably while reducing extra configuration steps for institutions.

Review, Promotion & Tenure

  • Enhancement - RPT New Templates List: We’ve updated the Template List page, including support for bulk archiving templates to reduce the number of templates visible in the UI. These improvements aim to significantly improve the RPT administration experience. The new Template List is enabled for all clients with today’s release. The Create and Manage Templates and Overview of RPT User Roles help articles are updated as well.
  • Fixed: We’ve improved the vita regeneration experience for users to ensure completeness and accuracy.
    • The regenerate vita action is now unavailable until all vita attachments reach a Received status.
    • If attachments are still pending, users will see a clear message explaining that regeneration is not yet possible.
    • If a regeneration request is attempted before all attachments are received, the system surfaces an error indicating that some attachments may be missing.
    • Once all attachments are in Received status, users can successfully regenerate a vita as usual.

Coming Soon

  • RPT New Case List: To match the Templates page, RPT Case List page is being redesigned for better performance and usability, with searchable and sortable columns, filters, and layout improvements. We will schedule Case List in a release after Templates List and update stakeholders here accordingly.
 

Faculty Activity Reporting

  • Enhancement - FAR Legacy Vita Bulk Export: We are updating the Legacy Vitas bulk export experience from the Standard Vitas Report page. The Legacy Vita export will now work in exactly the same way as the Vita Builder export. After users request an export, they will receive an email that the vitas are available to download and will be able to access the download from the relevant task on their Home page.
  • Fixed: In Vita Builder, when a template was set to a Listing display style, a number unrelated to the citation was being displayed in front of the citation. With this release, that number will not be displayed.
  • Fixed: In FAR, when a section had an option to display activities with an Ongoing status, the value of Ongoing was displaying differently in different contexts. With this release, we have standardized the Ongoing value to display as Ongoing in all contexts.
  • Fixed: When running a Scholarly Activity report in FAR and viewing a faculty vita, we had a condition that was checking the user's access to the template and causing a “Can’t open resource” error. Now, when a user views the faculty vita from the Scholarly Activity report, this error will not occur and users will be able to view the vita as expected. 

Interfolio Data Service

  • IDS Auto-Accept: IDS auto-accept can reduce manual review for clear scholar matches. Interfolio Data Service (IDS) is looking to roll out an administrator controlled auto-accept feature, allowing institutions to configure profile-matching parameters so externally sourced activity records can be imported directly into FAR when scholar matches are clear. This can reduce the amount of manual review required from faculty while helping institutions keep activity data current.
