Release Notes: October 1, 2026
This release includes fixes across Faculty Search (FS) and Review, Promotion & Tenure (RPT). In FS, we resolved issues affecting applicant document limits and categorization, Position Reports, sent-back approval messaging, applicant sorting, workflow template selection, and loading large workflow template libraries. In RPT, we fixed issues with the Case Information Report column picker, vita generation when attachments cannot be processed, and logo persistence for new Committee Forms in Staging.
Faculty Search
- Fixed: We resolved an issue in FS where applicants could submit more documents than an institution's "Required Documents" limit allowed. Previously, when an applicant selected more files than permitted in the Add File modal, the "Add" button appeared disabled but remained clickable, letting all selected documents through and also misapplying document categories. Applicants are now prevented from adding documents beyond the configured limit, and uploaded documents are correctly categorized under the document type set by the institution.
- Fixed: We resolved an issue in FS Positions Reports where users could see a raw error banner, “Sorry! Unable to complete report,” immediately upon opening Reports, even though the report itself, its filters, and download still worked correctly. FS administrators, committee managers, and EEO officers can now open Reports and use filters without encountering this misleading error message.
- Fixed: We resolved an issue in FS where, when a position was sent back to a previous approval step, the creator-facing banner incorrectly read "This position was sent back by undefined on undefined." The banner now displays the actual name of the user who sent the position back and the date it occurred, giving position creators the information they need to know who to follow up with.
- Fixed: We resolved an issue in FS where sorting the Applications list by Name was case-sensitive, causing last names beginning with a lowercase letter (e.g., "deGrom") to be grouped after all uppercase-led last names instead of appearing in their correct alphabetical position. Sorting by Name now produces standard, case-insensitive alphabetical ordering for all applicants.
- Fixed: We resolved an issue in FS where a position's workflow template selection could match an incorrectly configured template instead of the correct one for its position type, due to a missing type check in the template-matching logic. We also added a safeguard to prevent workflow templates from being created with this missing type information going forward. Position creation now reliably selects the correct workflow template for its position type.
- Fixed: We resolved an issue in FS where loading the Workflow Templates list timed out for institutions with a large number of workflow templates, due to inefficient database and lookup calls that scaled with template count. Institutions with large workflow template libraries can now load the Workflow Templates list reliably.

FS Refreshed Position Show Experience: We are modernizing the applicant review experience in FS with a redesigned 'Position Show' page that delivers faster performance and new capabilities such as the ability to:
- Select applicants across multiple pages and take bulk actions (including status changes, archiving, tagging, and emailing) on your full selection at once.
- Search and filter applicants using a redesigned filter panel with responsive, searchable controls.
- Sort by any column in the applicant table to quickly find and prioritize candidates.
Review, Promotion & Tenure
- Fixed: We resolved an issue in RPT where the Columns picker in the Case Information Report showed only a partial, outdated set of form questions instead of a form's current questions, and newly created or recently edited forms could fail to appear. The Column picker now reflects a form's current questions, so administrators can build Case Information Reports without falling back to the Forms Report workaround.
- Fixed: We resolved an issue where vita attachments in RPT could get stuck in a "Processing" state when generating a Faculty Activity Report vita, sometimes preventing the vita from completing. We fixed the underlying causes, including how large files and certain attachment data were handled, and corrected affected cases. We also improved error messaging so that if an individual attachment cannot be processed, the vita now completes with a clear explanation instead of remaining stuck indefinitely. Additional reliability improvements to this workflow are underway.

RPT Enhanced Manage Required Committee Form Respondents: Institutions can now better manage committee form requirements with more flexible assignment and completion controls such as the ability to:
- Set a minimum number of required responses from Committee Managers or Committee Members, allowing workflows to progress once the threshold is met.
- Choose respondent type more precisely by assigning forms to either Committee Managers or Committee Members.
- Bulk omit requirements at the case level, reducing manual effort when managing respondents.
These updates reduce delays caused by rigid completion rules and minimize the need for manual intervention, helping cases move through review workflows more efficiently while supporting more flexible participation models (e.g., optional respondents).

- New Navigation Link - Activities Pending Review: We’re adding a new "Activities Pending Review" link to the Faculty Activity Reporting left-hand navigation, giving users a persistent, one-click path to their IDS Matching queue from any page with FAR and the FIS.

- Citation improvements: We’re improving citation quality in Vita Builder to make citations more accurate and consistent across styles. This work includes aligning citation styles with Citation Style Language standards, improving the display of bibliographic details such as author, publisher and outlet (journal title), and adding stronger regression coverage for commonly used citation styles and record types.
- Easier PubMed imports: We’re making it easier to find and import publications from Medline/PubMed. Faculty will be able to choose whether multiple search criteria are combined using AND or OR, making it easier to narrow searches or find several publications at once. The import results will also support Select all, display the citation type before import, and provide clearer context while reviewing search results.
