About Auto-Accepting Records

Some institutions enable auto‑accept, which allows IDS to automatically accept and add high‑confidence records to FAR without requiring manual review. Auto‑accept is based on a confidence assessment of how likely a publication belongs to a specific faculty member. Confidence is informed by factors such as name matching, affiliation, and available identifiers.

If auto‑accept is enabled and a record meets the confidence threshold set by your institution’s administrator the record may be added directly to FAR with no action required from the faculty member. The record is clearly labeled to indicate it was automatically imported.

 

Auto-Accepted Records

Auto‑accepted records include indicators in both systems:

  • In IDS: Automatically imported by institution
    IDS auto accept
  • In FAR: Interfolio Data Service: Automatically imported by institution

These labels help distinguish auto‑accepted records from those reviewed manually.

Even when records are auto‑accepted, faculty members can still review them in FAR. If an auto‑accepted record appears incorrect, contact your institution’s support or administrative team for guidance rather than deleting the record.

 

FAQs

Will I be notified when my records are automatically accepted? 

Currently, there are no direct notifications. However, you should see indicators in the system stating whether records were auto-accepted or manually reviewed.

 
 

How is the confidence score determined?

The confidence score reflects our confidence that we have identified the correct person, based on matching their name, institution, and email. Where available, IDS also uses unique author identifiers (such as ORCID iDs and Scopus Author IDs) to improve matching accuracy. Records that include reliable identifiers typically result in higher confidence, as identifiers help distinguish individuals with similar names and publication histories. 

 
 

Can I change the confidence threshold for auto-accept?

No, the threshold is set by your institution's administrators and updated by the team supporting its implementation. You can review which records are accepted or rejected but not change system settings.

 
 

What should I do if I see records I believe are incorrect? 

You can review the records flagged for manual review and choose to accept or reject them. For auto-accepted records, contact your administrator if discrepancies are found.

 
 

Will I be informed about the criteria or reasons for auto-acceptance? 

You should see a message indicating that the record was auto-accepted by your institution, based on confidence scores. The labelling for this is IDS (Automatically imported by institution) and FAR (Interfolio data Service: Automatically imported by institution).

 
 

How does this affect my Web Profile? 

Accepted records will automatically appear in your Web Profile and FAR, reflecting your approved scholarship data.

 
 

Who is responsible for communication about this system? 

Your institution's support or administrative team is responsible for communicating and explaining how auto-approval impacts your data.
