Accept and Reject IDS Recommendations

The Interfolio Data Service (IDS) identifies scholarly publications that may belong to faculty members and presents them in Faculty Activity Reporting (FAR) for review. This article explains how to review, accept, edit, or delete IDS‑matched records, either individually or in bulk. IDS‑matched activities are publications that IDS has identified as potentially belonging to you and placed in FAR for review. Review and Validate Matched Activities

You can review matched records at any time. 

 
  1. On your Homepage, scroll down to the Matched Activities section, which includes the:
    • Activities Need Review card showing matched activities available for review that require action
    • Activities Accepted card counting activities that have already been to your FAR account

  2. Select either card under the ‘Matched Activities’ section to navigate to the Matched Activities page where you will see a list of matched activities that need your review.

  3. Records that require action appear under the ‘Needs Review’ tab, accepted records appear under the ‘Accepted’ tab, and deleted records appear under the ‘Deleted’ tab.

Under the ‘Need Review’ tab you will be able to:  

  • View and edit activities that are ready for review
  • Bulk accept and delete activities that are complete
  • Manually accept and delete activities one at a time

Under the ‘Accepted’ tab you will find:  

  • Activities automatically accepted by IDS, if IDS Auto-Accept is enabled by your institution
  • Activities you have accepted using the bulk tool
  • Activities you have manually approved
  • A link directly to FAR to view the Activities there 

Under the ‘Deleted’ tab you will find:

  • Activities you have manually deleted.  
  • Activities you have deleted using the bulk tool.
  • Ability to restore items you deleted by mistake 

Auto-Accepted Records

Some institutions enable auto‑accept, which allows IDS to automatically accept and add high‑confidence records to FAR without requiring manual review. For more information on auto-accepting, check out this article About Auto-Accepting Records.

 

Accept and Reject (Delete) Recommendations

Individually

  1. To edit, accept, or delete activities, click the hyperlinked title of the desired activity to open the Step 1: Record Information window on the right-hand side. 
  2. Fill out Step 1: Record Information and Step 2: Activity Classifications.

Note the ‘Next Step’ and ‘Accept Activity’ button will become active once all required fields are filled in.

 
 
 

In Bulk

If multiple records are ready for action, you can manage them in bulk. 

  • Bulk accept activities: Under the ‘Need Review’ tab, check the boxes next to the activities you want to accept, then click on the Accept Activities button on the toolbar above.

    • Complete records are accepted and added to FAR.
    • Incomplete records are flagged and must be reviewed individually.

  • Bulk delete activities: Check the boxes and then click the Delete button. Deleted activities will move to the ‘Deleted’ tab and will no longer be shown to the user.  
  • Restore deleted records: If you delete something by mistake, go to the ‘Deleted’ tab, select the activity, and then click the Restore button to move it back to the ‘Need Review’ tab.

Once accepted the activity appears in FAR and no longer appears under 'Needs Review.' It may also appear in reports, profiles, or workflows that use FAR data.

 

Administrators can also clear scholarly duplicates for faculty from the Administration page.
