Preparing for Your Interfolio Kickoff Call

Welcome to Interfolio! The kick-off call will help us understand your objectives and create a clear picture of the initial rollout of Interfolio’s Implementation Services within your organization. We will provide an overview of the implementation process, establish goals and objectives, set expectations, establish a preliminary roll-out plan, and determine what success looks like for your institution.. This will be a 30-60 minute call to learn more about the project team, timelines, and next steps Before your kickoff call with your Implementation Project Manager here are some actions items and things to know: 

 

Preparing for Your Interfolio Kickoff Call

Who should come to the kickoff call

The kickoff call should include all stakeholders. Typically, this includes an executive sponsor, IT resources, project managers, software administrators, and those heavily involved in implementing Interfolio internally. This call will serve as a high-level overview discussion of the project and therefore should include all client stakeholders.

  • Typically, the second call in the implementation cycle is a high-level demo of the product and a review of your project plan, along with the estimated timeline, using Monday.com.
  • After these meetings, the weekly calls get more granular, and typically only include those heavily involved in implementing Interfolio internally. This primary group of the 3-5 stakeholders along with the Executive Sponsor, Client Project Manager, and Software Administrator, will make up the core project team and are expected to attend weekly implementation meetings. Subject Matter Experts (SMEs) from the institution can be be invited on an ad-hoc basis but don't necessarily need to be on the core project team (e.g. College/School level Deans, Department/Unit/Program Heads).

  • Faculty Search:
    • Think about who needs to approve positions before they go live? Does HR need to join?
  • Review, Promotion, and Tenure:
    • Do we need a representative from the RPT committee to join?
    • What process/workflow are you wanting to start with?
    • In thinking about this specific process, who are the representatives at the university-level workflow steps?
    • Is there a specific governance committee for this specific process? If yes, we recommend having representation from this committee on the core project team.
 
 
 

What to bring to the kickoff call

Please consider the following questions and prepare to discuss them with the Interfolio implementation team during the kickoff meeting.

  • In 1-2 sentences, what brought you to Interfolio?
  • What are the primary use cases you want to manage with Interfolio?
  • What was painful about the way you were working before?
  • What value do you hope to receive by moving to Interfolio?
  • What would a successful roll out mean to your team?
  • How will we measure the success of this rollout?
  • What is your ideal timeline? Are there any milestones we need to meet? 
 
 

What are my next steps

  • Your Implementation Project Manager will be reaching out with a few available options to schedule the kickoff call. Please confirm your team’s availability at the earliest convenience.
  • Review the guide on Client Project Team Roles.
  • Take a first pass at the Project Team Workbook.
  • Start collecting your Single Sign-On (SSO) information.
  • Dive into the Client Community.
  • Start outlining your unit hierarchy. This should be a breakdown of departments, not names or people specific.
