Open a Position to New Applicants

Once a position has been created in Faculty Search, and the position has opened, a landing page (called the "Apply Now" page) will become available to applicants. This article describes how administrators can open a position, publish the "Apply Now" page, and how to retrieve the link for that page.

The "Apply Now" Page

Once a position has opened, applicants will apply via the Apply Now page. This page includes the details and application instructions submitted by the position creator. When the applicant clicks "Apply Now", they will be directed to their existing Dossier account (or instructed to create  their free Interfolio Dossier account if they did not have one previously), which they will need to apply.

In order for applicants to apply , the position must meet two requirements:

  1. The open date must be the present date or a date in the past
  2. The position must be published

If either of the above is untrue, then applicants will see a note saying that the position is unavailable and will not be able to apply until both conditions are met.

Positions will generally auto-publish on their open date. The requirements for auto-publishing are:

If the position has not been fully approved by the open date, or the open date is changed to a date in the past, then the position will need to be manually published. Skip to Publishing a Position for instructions.

Editing a Position's Open Date

Positions are required to have an open date set during Position Creation, but the open date of the position can always be modified as needed by doing the following.

  1. Navigate to the Positions list and click on the name of the position to open the position information
  2. Click "Position Actions" in the upper right, then select "Edit Position"
  3. Click the "Change" button next to the open date, then select the desired date from the calendar
Click the change button next to the open date
Publishing a Position

If a position does not auto-publish for any reason, it can be manually published by doing the following:

  1. Navigate to the Positions list and click on the name of the position to open the position information
  2. Click "Position Actions" in the upper right, then select "Edit Position"
  3. Click the "Change" button next to the text stating that the Apply Now page is not yet published
Click the "change" button next to the publish settings
Retrieving the Apply Now URL

The Apply Now URL can be used to advertise the position on external job boards or be sent directly to specific applicants. This URL is generated before the position's open date, but the the page will not display any information until the position is open and published. To find the position URL:

  1. Navigate to the Positions list and click on the name of the position to open the position information
  2. Click "Position Actions" in the upper right, then select "View Position Details"
  3. Locate the URL in the "Position URL" field
  4. To view the Apply Now page from the applicant's view, click on the URL
    • Please note: although the URL is available to be copied and distributed at this point, the position will need to be open and published before the position details are displayed and applicants are able to apply

Changes to a position's details will be reflected dynamically on the Apply Now page. To view instructions on editing the position details, please see Editing an Existing Position
