Open a Position to New Applicants

Once a position has been created in Faculty Search (FS) and the position has opened, the Apply Now page will become available to applicants. This article describes how administrators can open a position, publish the Apply Now page, and retrieve the link for that page.

 

Open a Position

Edit the Open Date

Positions are required to have an open date set during Position Creation, but the open date of the position can always be modified as needed by doing the following

 

If the position has not been fully approved it will not open no matter what the open date is. So, there is no need to worry about a position publishing/opening when it is still in the approval process.

 

Navigation: Positions > desired Position

  1. Click Positions under Faculty Search on the navigation bar.

  2. Find and click the desired hyperlinked position Name.
  3. Click Edit Position from the Position Actions dropdown at the top of the screen.

  4. Click the Change button adjacent to the Open Date section.
  5. Select the desired Date from the calendar.
  6. Click Save when finished.
 
 

Publish the Position

Positions auto-publish at 6 am EST on the date the position is set to open (only if the position has been approved by all approval steps). Positions that are created/approved after 6 am on the same day they open, or after the set open date, will need to be manually published by an Administrator or Committee Manager. The following steps describe how to manually publish a position.

 

Navigation: Positions > desired Position

  1. Click Positions under Faculty Search on the navigation bar.

  2. Find and click the desired hyperlinked position Name.
  3. Select Edit Position from the Position Actions dropdown at the top of the screen.

  4. Click the Change button adjacent to the text stating that the Apply Now page is not yet published.
  5. Click Save when finished.
 
 

Retrieve the Apply Now URL

The Apply Now URL can be used to advertise the position on external job boards or be sent directly to specific applicants. This URL is generated before the position's open date, but the page will not display any information until the position is open and published. To find the position URL follow the directions below.

 

Navigation: Positions > desired Position

  1. Click Positions under Faculty Search on the navigation bar.

  2. Find and click the desired hyperlinked position Name.
  3. Select View Position Details from the Position Actions dropdown at the top of the screen.

  4. Click the Position URL link to view the Apply Now page from the applicant's view.

    Please note that although the URL is available to be copied and distributed at this point, the position will need to be open and published before the position details are displayed and applicants are able to apply.

     
 
 

FAQs

What position requirements must be fulfilled in order for an applicant to apply to a position?

In order for applicants to apply, the position must meet two requirements:

  1. The open date must be the present date or a date in the past.
  2. The position must be published.

If either of the above is untrue, then applicants will see a note saying that the position is unavailable and will not be able to apply until both conditions are met.

 

Once a position has opened, applicants will apply via the Apply Now page. This page includes the details and application instructions submitted by the position creator. When the applicant clicks Apply Now, they will be directed to their existing Dossier account (or instructed to create their free Interfolio Dossier account if they did not have one previously), which they will need to apply.

 
 
 

If a position’s open date is changed after it has been fully approved will it still auto-publish on the new open date?

Yes, the position will auto-publish on the new open date if the open date is set in the future. For further clarification:

  • Open Date: Indicates when the position opens and allows applicants to apply. 
  • Publishing Position: Posts the job on your job board for applicants to find. 
  • Close Date: Closes the position to any new applicants.
    • To remove the posting from visibility, you will need to unpublish it.

For example, if a position is approved on July 18th, and its open date is scheduled for July 20th, the position will auto-publish and open to applicants on July 20th at 6 am.
